Research a cold prospect using four fields Record their service, target buyer, public enquiry path, and one factual observation. An observation such as “your website offers a consultation form” is usable. A claim such as “you lose leads because replies are slow” requires evidence and must not be invented. Proof Use real work you can demonstrate and have permission to share. Until client results are available, show a clearly labelled demonstration using dummy records. Do not manufacture testimonials, client logos, conversion improvements, or scarcity. Campaign objective Use six attended, qualified reviews from the illustrative 150-contact cohort as a planning target, not a forecast or industry benchmark. Define qualified as a relevant business with an identifiable workflow problem and an appropriate decision-maker or internal sponsor. Review replies and fit before increasing volume.
Platform facts and practical implications HighLevel supports workflow time windows, contact timezones, and Stop on Response. That stop setting applies to messages from its own workflow, so this plan adds separate reply and booking exit rules across campaign workflows. [S1] Conversation AI can collect booking details, offer available slots, and book against a configured calendar. Use one calendar first and test the bot against real availability before enabling it for inbound leads. [S2] Social Planner supports channel-specific captions and draft preparation. Its CSV guidance permits an empty date field for a draft; media can be added during review. Use the supplied draft files after uploading the graphics. [S3, S4, S5] HighLevel’s current LC Email FAQ says cold email is supported but refers to a separate help article for details. Its deliverability guidance also recommends direct consent and list hygiene. This research did not establish the full outbound cold-email eligibility rules for your specific account. Keep cold prospects separate; confirm the applicable platform and provider rules before activating that sequence. Do not represent a researched address as an opt-in. [S6, S7] Authenticate the sending domain and use a consistent sender identity. Gmail’s guidance asks senders to keep reported spam below 0.1% and avoid reaching 0.3%. These are Gmail measures, not a promised inbox rate or universal GoHighLevel suspension threshold. [S8, S9] For US commercial email, include truthful sender details and subject lines, a valid postal address, and a clear opt-out. The FTC guide also covers advertising identification and requires opt-outs to be honoured within 10 business days; this plan processes them immediately. B2B messages are covered too. [S10] Treat SMS as an optional booking reminder channel for contacts with the appropriate recorded consent. LC Phone requires permission, sender identification, and opt-out handling. A phone number on a contact record is not evidence of that permission. [S11] Strategic recommendations The proposed audience, four-week cadence, 20-minute offer, initial cohort size, creative themes, and success targets are campaign design choices. They are not claimed to be proven universal best practices. Use this month to establish your own baseline. Measure positive replies, qualified reviews, attendance, proposals, and sales. Do not use an email open by itself to trigger extra messages or label a prospect interested. Check people’s actual replies and the booking record. Scope This rollout assumes US business recipients. WF01 Existing contacts Trigger: manually approved addition of seg_existing plus the campaign tag. Check eligible_email, valid email, no email DND, no suppress_campaign, no active review booking, and no other campaign enrollment. Disable re-entry. Send W1, wait 4 days, send W2, wait 7 days, send W3, wait 10 days, send W4. Check the same exit conditions before each send. Enable Stop on Response. Finish without automatically adding a newsletter subscription. WF02 Cold prospects Use the same timing with C1–C4 and seg_cold. Keep this workflow in draft until sending eligibility for the actual provider and account is confirmed. Require a reviewed observation and source URL for C1; if missing, create a research task and end. Never auto-generate unsupported personalisation. Existing contacts and cold contacts must not enter both sequences. WF03 Reply handling Trigger: Customer Replied, filtered to campaign contacts. Remove from WF01 and WF02 and add human_reply. Create an owner task and notification. A human classifies positive, question, later, not interested, opt-out, or automatic reply. Positive or question moves to In conversation. “Later” gets a task for the requested date. An automatic reply pauses outreach for review; it is not a positive reply. WF04 Booking and attendance Trigger on the review calendar’s booking or confirmed appointment event; filter to this calendar and deduplicate by appointment. Add booked_review, remove from both outreach workflows, and update the existing opportunity. Send one confirmation, then reminders 24 hours and 1 hour before the meeting. Skip reminders whose scheduled time is already past. Use appointment-relative waits, not simple 24-hour delays. Keep confirmation and reminders separate from marketing stop logic. Cancellation and rescheduling Cancel pending reminders tied to the old appointment when it is cancelled or rescheduled. Send the correct update once. Do not restart prospecting automatically. After a manual attendance update, an attended review creates a recap task; a no-show sends one rescheduling message. Test repeat bookings because appointment triggers can re-enter per appointment even if re-entry is disabled. [S1] WF05 Suppression On unsubscribe, explicit opt-out, relevant DND change, complaint, or hard bounce, stop the relevant marketing sends and record the reason. Remove campaign enrollment. Keep marketing suppression separate from appropriate service communications. Review any failed send before retrying; do not evade provider limits. WF06 Inbound review request On the campaign form submission, store the source and campaign ID, notify the owner, and create or update an opportunity. Show the calendar on the thank-you page. Cost per attended qualified review equals attributable campaign spend divided by attended qualified reviews. If the denominator is zero, report not available rather than zero cost. Include labour separately if you want a fuller acquisition cost; label the cost basis. Social measures Capture platform reach, saves, relevant comments, profile visits, and tracked enquiries where available. Cross-platform reach is not a deduplicated audience count.
